1. The type of personal information we collect

We currently collect and process the following types of information:

  • Personal identifiers and business contact details (for example, name, work email address, and telephone number).
  • Information provided during meetings, workshops, surveys, or online courses where individuals may be identifiable (for example, spoken or written input in notes, transcripts, or recordings).
  • Optional marketing preferences, such as newsletter subscriptions or event registrations.
  • Information submitted through our website contact form (name, email, organisation, enquiry type, and message).

2. How we get the personal information and why we have it

Most of the personal information we process is provided directly by you for one of the following reasons:

  • To communicate with you about our products, services, or events.
  • To manage access to our courses, workshops, and consultancy services.
  • To deliver agreed project or advisory work.
  • To send newsletters, product updates, or relevant content (where you have opted in).
  • To respond to enquiries submitted through our website contact form.

We do not buy, sell, or share personal data with other organisations.

3. Lawful bases for processing

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Your consent – for newsletters, marketing, and communications you have opted into.
  • Performance of a contract – to provide consultancy, workshops, or training that you or your organisation have engaged us to deliver.
  • Legitimate interests – to maintain professional relationships, respond to enquiries, and improve our services.

4. How we store and protect your personal information

Your information is stored securely within enterprise-grade cloud services that provide encryption, access control, and internationally recognised security certifications.

Access is limited to authorised AI Accelerator personnel, protected by multi-factor authentication and device-level encryption. We take a layered approach to data protection, which includes secure access controls, incident reporting procedures, and regular reviews of account permissions.

AI Accelerator holds Cyber Essentials Plus certification, demonstrating our commitment to industry-standard cyber security practices.

5. Data retention

We retain personal information only for as long as necessary to fulfil the purposes it was collected for:

  • Marketing and mailing lists: up to 3 years from your last interaction, or until you withdraw consent.
  • Project or client-related data: reviewed annually and deleted once it is no longer required for business or legal purposes.
  • Contact form submissions: retained for up to 12 months to respond to and follow up on enquiries.

When information is no longer needed, it is securely deleted from our systems and backups are allowed to expire naturally in line with provider retention policies.

6. Use of Artificial Intelligence (AI) tools

We use a range of commercially available AI tools to support our research, drafting, and creative processes.

We do not use personal data for AI model training or analytics, and we do not input identifiable or confidential client information into public AI tools.

Where AI systems are used, they are configured and governed under strict internal policies to protect privacy and maintain professional confidentiality.

7. Website and hosting

This website is hosted on Netlify. Netlify may collect standard server logs (IP address, browser type, pages visited) as part of its hosting service. This data is used for security and performance purposes only.

Our contact form is processed by Netlify Forms. Submissions are stored securely and are accessible only to authorised AI Accelerator personnel.

Our online courses and training materials are hosted on Kajabi, a separate platform with its own data handling practices.

We use Calendly for appointment scheduling. When you book a call, your name and email address are shared with Calendly to facilitate the booking. Calendly’s own privacy policy applies to information processed through their platform.

8. Sharing your information

We use a small number of trusted service providers to support the delivery of our services (for example, secure cloud storage, communication, and learning platforms).

These providers are bound by data protection agreements and meet recognised international security standards.

We do not sell, rent, or exchange personal information with any other third party.

9. Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to correct inaccurate or incomplete information.
  • Your right to erasure – You have the right to ask us to delete your personal information in certain circumstances.
  • Your right to restriction of processing – You can ask us to limit the way we use your data in certain circumstances.
  • Your right to object to processing – You have the right to object to our use of your data where it is based on legitimate interests.
  • Your right to data portability – You can ask us to transfer your data to another organisation, or directly to you, in certain circumstances.

You are not required to pay any fee to exercise your rights. We have one month to respond to any request.
